Overview

Problem Statement

In the existing enrolment system, a parent or guardian has to fill the same information on multiple forms every time they relocate or enroll their child into a separate centre. With this application, the client wanted to capture all the information just once so that it can be reused for any subsequent applications with different child care centres. Moreover, integration with various systems and CCeS will reduce the data inconsistencies faced by the colleges due to usage of excel sheets. The initial plan is to roll this out only for child care centres. Gradually, this can be enhanced to cater to kindergarten, school and universities enrolment process.

Solution

The objective was to build a state of the art digital platform for a child’s enrolment process to child care, kindergarten, schools and universities. We wanted to build a bridge between parents or students and day care centres, schools and universities in order to:

  • Reduce the users’ efforts and save time

  • Reduce errors in applications

  • Improve the tedious enrolment process

Since the project was for the Australian audience, it was important to recognise the differences in the admission procedure.

Market Research

We decided to conduct a market research using competitive analysis in order to find the causes behind the success or failure of the competitors. After going through several different platforms with similar features and functionalities, we finalized the features that were most important and how they were being implemented.

Application Forms

We found that the most defining aspect of all of these services was the application form. Users were tired of paper based applications but at the same time wanted a hassle-free online alternative

Two-way integration

The existing services were either just used by parents to send the data to schools or just used by schools as an admin management service platform. We aimed to integrate both these ends’ demands into one.

Customisation

Customisable admission forms was one of the demands not met by most services that were relatively highly feature rich. This was a key inclusion for our MVP.

Third-party software

Even though most of the data was directly accessed through these portals, most customers required third-party software integration to export and analyse reports through their preferred platform.
